Executive Legal Administrative Assistant

Gray Plant Mooty, a prominent national law firm, currently has an executive legal administrative assistant opportunity available.  This position will assist transactional attorneys, primarily in health and non-profit law, at the Minneapolis location, working hours will be from 7:30 – 4:00.  The ideal candidate will have 6+ years of administrative/executive experience supporting transactional attorneys in a law firm or corporate setting with proven success in a fast-paced, team environment.  Candidates must possess excellent communication skills (both written and verbal), have superior organizational abilities, pay attention to detail, be proactive in nature, and have exceptional technology skills.  The Executive Legal Administrative Assistant will have a demonstrated ability to deliver the highest level of client service and responsiveness in a fast paced environment; strong interpersonal skills and the ability to build relationships with stakeholders; primary point of contact for internal and external stakeholders; be creative and enjoy working within an entrepreneurial environment that is results-driven and client oriented.  The assistant will have the ability to work independently on projects from conception to completion, under pressure, while balancing multiple priorities together with managing an extremely active calendar of appointments; arranging complex and detailed travel plans, itineraries and agendas.

Business Development Specialist

Gray Plant Mooty, a prominent national law firm, currently has a Business Development Specialist (BDS) opportunity available in our Minneapolis office that supports the Chief Business Development Officer (CBDO) and Business Development Managers in a wide range of business development initiatives and external profile raising activities. The BDS will collaborate with the business development and marketing team, practice group leaders, and attorneys to assist with marketing and client development strategies that focus on marketing, business development, public relations, knowledge management and logistical support.  The BDS will act in an administrative function assisting managers with practice group development. 

The specialist’s responsibilities will include coordinating and preparing pitches and proposals, responses to RFP’s, client presentations and other deliverables.  The BDS will work with the communications team, coordinating and assisting in the preparation of legal ranking submissions, tracking the submissions and assist with client alert mailings.  In addition, the specialist will assist with managing annual practice group budgets and marketing plans; help identify, and assess sponsorships and speaking engagements, etc.  And assist in conducting research and gathering information to support business development and marketing initiatives. 

As a Business Development Specialist, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude.  Must have knowledge of core business development principals including RFP response preparation; presentation development, business development training, leadership skills, well developed and professional interpersonal skills; ability to interact effectively with people at all organizational levels of the firm; ability to work in a team environment with a client service focus.  Ability to handle projects independently, prioritize workload and solve problems quickly.  Bachelor’s degree in Marketing, Communications or related field required. Exceptional project management and organizational skills; strong technical skills and familiarity with CRM systems and databases required.

New Business Intake Specialist

Gray Plant Mooty, a prominent national law firm, currently has a New Business Intake Specialist opportunity available.  The New Business Intake Specialist will handle all aspects of opening and updating matters for new and existing clients.   Responsibilities will include performing formal and informal conflict of interest checks on all new clients/matter and notifying appropriate personnel of any potential conflicts and assisting in maintaining the conflict of interest database, including data entry, edits, and updates.   The specialist will work with others in reviewing client engagement letters during the intake process to ensure consistency.  In addition, the New Business Intake Specialist will assist end users with software database questions.

The specialist will have a thorough knowledge of conflict of interest database software and be able to operate all aspects of the system, preferably Intapp Open.  A demonstrated ability to identify and analyze issues and problems and to be able to recommend and implement solutions is required.  Effective project and time management skills are essential as well as strong written and verbal communication skills.  Attention to detail skills are critical.  Two years of conflict/new business intake experience in a law firm or other professional services firm is required.
